Please note: The maximum hotel room occupancy is four (4) persons in the standard rooms, with all king bedrooms offering a pull-out sofa. If the total number of guests in your party exceeds four (4) people, you will be required and responsible to purchase an additional hotel room. Charges for a third/fourth person are $100.00 per person per night, with the exception that there is no additional charge for children 17 years and under when accompanied by a paying adult utilizing existing bedding.

Change and Cancellation Fees
Please plan your trip carefully. All sleeping room extensions are refundable up to 30 days in advance of arrival. Any changes or cancellations will be at your own expense.

The appropriate attire for your stay is mostly casual, business casual and resort casual. Pack a light sweater or wrap for cooler evenings, in addition to your swimsuit, hat, sunglasses, mineral sunscreen and comfortable, flat shoes for walking and activities.

Casual

Casual attire is appropriate for traveling and activities. Casual attire includes shorts, lightweight slacks or cropped pants, a casual dress, t-shirts and polo shirts.

Business Casual

Business casual attire is appropriate for conference meeting days. Resort casual/upscale attire incudes lightweight slacks and polo or button-down shirts for men; and a shift, wrap, jersey or shirt dress, blouse, jumpsuit, skirt and cropped pants or slacks for women. No flip-flops.

Resort Casual

Resort casual attire is appropriate for the GlomCon Hawaii reception. Resort casual incudes shorts, lightweight slacks and polo or button-down shirts for men; and a casual shift, wrap, lightweight or sundress, blouse, skirt and cropped pants or slacks for women. Sandals are appropriate for resort casual wear.

Refrain from packing valuable personal items, such as expensive jewelry, in your checked luggage. We advise including in your carry-on bag at least one change of clothing, toiletries, prescription lenses, necessary medications and any immediate essentials for your arrival. Should your luggage encounter delays, ensure these essential items are packing in your carry-on for easy access upon arrival to your room.

Note: Maui County has banned the sale, use, and distribution of non-mineral sunscreen without a prescription. This means any sunscreen you bring must be mineral sunscreen unless you have a prescription to use chemical sunscreen. Please note that some sunscreens labeled as “reef-safe” may include banned ingredients.


Keep your home looking “lived-in” while you are away. A good idea is an automatic timer that turns your house lights on and off at designated times, or perhaps a neighbor can help. You may want to ask a neighbor or family member to pick up mail, newspapers or any other items which will accumulate and become a sure sign that you are not at home.

Medical Conditions
To help make your trip as comfortable as possible, please inform the GlomCon Event Team of any special needs or accommodations (wheelchair, special dietary needs, allergies, etc.) prior to your trip so that any necessary information may be transferred to the on-site team.

It is a good idea to consult your physician regarding your personal needs whenever you plan to travel. Also, it is suggested that you carry a medical summary card with you when traveling if you have a medical condition that requires special attention.


Prescription Drugs
Prescription drugs should be in their original containers with the prescription label clearly displayed. For your convenience, it is recommended that you also bring any over-the-counter medication you might use. It may be costly or inconvenient to purchase such medications from a pharmacy or convenience store during your trip.

Injectable and/or Liquid Medication
Make sure injectable medications are properly labeled (professionally printed label identifying the medication or a manufacturer’s name or pharmaceutical label). Notify the airport screener if you are carrying a hazardous waste container, refuse container, or a sharps disposable container in your carry-on baggage. Diabetic syringes must be accompanied by insulin. It is also a good idea to have a letter from your doctor identifying the need for these items.

Medical Implants
Notify the airport screener if you have any implanted medical devices such as an artificial hip or knee, bone shafts, cranial plates, shrapnel, staples, pins, or metal ports that may set off the alarm on the metal detector.

Medical Documentation
If you have medical documentation regarding your medical condition, you may present this information to the airport screener to help inform them of your situation. This documentation is not required and will not exempt you from the screening process.


Always carry medicine on your person or in your carry-on luggage, DO NOT PACK IN CHECKED LUGGAGE.

Bring Proper Identification
Passengers will need a valid, government-issued photo identification (driver’s license) at all times while traveling. The name on your identification must exactly match the name on your e-ticket confirmation. In addition to appropriate personal identification, passengers must hold an airline or agency-generated boarding pass, paper ticket, or an electronic ticket receipt that indicates a flight departure for the current date.

For participants originating outside of the United States and who are not U.S. citizens, please contact your local consulate for travel requirements.


REAL ID Act

Starting on May 7, 2025, U.S. travelers must be REAL ID compliant to board domestic flights and access certain federal facilities.

Travel Planning Precautions

Please check your local airport and carrier for the most current security standards. To ensure the safety of all airline passengers, heightened security procedures have been implemented. For additional details, please reference Travel | Transportation Security Administration: tsa.gov.


Flight Status

Check the status of your flight prior to leaving for the airport on your departure day. Keep in mind that information is subject to airline control and may be changed at their discretion without notice.


Check-in Online

Most airlines offer online check-in beginning 24 hours (and up to 45 minutes) prior to departure for domestic flights.


Allow Plenty of Extra Time at the Airport

Arrive at the airport at least 2 hours prior to departure for your flight and to your gate 45 minutes prior to boarding. Your patience is requested during this time of heightened security procedures. Please also remember that if you decide to check luggage, you need to have your luggage checked by the airline 1.5 hours prior to your flight.

Do not joke about having a bomb or firearm. Do not discuss terrorism, weapons, explosives or threats while going through the security checkpoint. The mere mention of words such as gun, bomb, etc., can compel security personnel to detain and question you. They are trained to consider such comments as real threats.


Seat Assignments

At the time you check in with the airline, you will want to reconfirm your seat assignments. Seating is subject to airline control and may be changed at their discretion without notice. If you wish to make a change to your current seat assignment, please do so at check-in. If you have a medical condition requiring specific seating, please have a letter from your doctor with you to show the airline.

Remember, even after you have obtained your boarding pass, if you are not on board the aircraft at least 20 minutes prior to departure, the airline can release your seat to another passenger.


Airline Frequent Flyer Number

If you did not give your frequent flyer number at the time of registration, please give it to the ticket agent when you check in for your flight to Maui. Or you can access your reservation on the airline carrier’s website to add your frequent flyer number.


In Flight

During your flight to Maui, you will be asked to fill out a State of Hawai’I Department of Agriculture Plants and Animals Declaration Form. One adult family member can complete this form for all family members traveling together.


Arrival in Maui

Rideshare and Taxi: The approximate cost of a rideshare and/or taxi from the Maui Kahului (OGG) airport and the Grand Wailea is $60 – $75, and rates are dependent on the service. After getting off your flight, follow signs to “Ground Transportation.” Rideshare and taxi pickup at Kahului Airport is located just outside baggage claim to your right by the Commuter Terminal.

Maui Kahului (OGG) airport is located about 17 miles from the Grand Wailea. Approximate transfer time between the airport and the hotel is 30 minutes, depending on traffic.

Most airlines now charge fees for EACH piece of baggage checked. Charges vary depending on the airline

You are encouraged to minimize your baggage (including carry-ons) to the greatest extent possible. Your luggage must be checked in at your home city airline ticket counter. As the airlines are changing their checked luggage allowances, please refer to your airline carrier’s exact luggage restrictions on their website, along with items allowed to be carried on the plane, meals served (the cost to purchase food on the flight, if available), and to check for any schedule changes.

Carry-On Luggage

Each traveler is limited to one carry-on bag and one personal item (such as a purse or messenger bag). Your carry-on luggage must fit beneath the passenger seat or in the overhead compartments. The carry-on luggage must fit easily in a Size Wise™ unit (approximate dimensions 22″ x 14″ x 9″). Purses, handbags, and small camera bags are usually not considered luggage, but roller bags and laptop carriers are. Please be aware that air carriers are becoming stricter in observing carry-on regulations. Please check your carrier’s website for updated information for your particular flight.

Please remember to check your carry-on items for any knives, nail clippers, nail files or any object that is a sharp, cutting instrument. These items are not allowed past the security checkpoints to enter the gate area and cannot be carried onto the plane with you.

Remember that the airlines have instituted the 3-1-1 rule for carry-on luggage:

Passengers traveling within the United States may bring through the security checkpoint travel-size toiletries (3-ounce container or smaller) that fit in ONE, quart-size, clear plastic, zip-top bag.

The bag must be completely closed/sealed and must be submitted for inspection separately from other carry-on baggage.

When in doubt, put your liquids in checked luggage.

Checked Luggage

All winners and guests will fly into Maui Kahului International Airport. Please be sure that your home city airline ticket counter agent marks your checked luggage with the proper code for your Maui, Hawaii destination (OGG). After you have ensured that all luggage receipts are in order, keep them with your other travel documents in a safe place. These are the only records of identification you have in the event a piece of luggage needs to be traced. Please note, all checked luggage must remain unlocked, as it is subject to inspection by the airlines.


Delayed Luggage

If your luggage is delayed or lost when you arrive in Maui, please fill out a lost luggage claim form with your airline before leaving the airport. Please give a copy of this form to the GlomCon Event Team upon check-in at the hotel. Our on-site travel staff will follow up with the airline for retrieval of your luggage.


Departing Hawaii – Agriculture Inspection

All baggage bound from Hawaii to the U. S. mainland is subject to pre-flight inspection by the U. S. Department of Agriculture. Restrictions on the movement of fruits, plants, live snails, and other items from Hawaii to the Mainland US are enforced to prevent the spread of fruit flies and other hazardous plant insects and diseases. You will be asked to report all agricultural items in your possession to the agricultural inspectors. Inspection stations for checked baggage are in front of the airline check-in counters while hand carried articles will be inspected at the security check points. Be prepared to open and close your baggage for x-ray machine inspection.

Please note: Additionally, it is strongly prohibited to take native sand, shells, and lava rocks from Hawaiian beaches.

Maui is a popular tourist destination and is quite safe, but like all tourist destinations, it’s smart to consider your personal safety and security while traveling. Here are a few things to consider:

General Safety & Security Tips

  • Drink responsibly. The legal drinking age in Hawaii is 21. Have fun and remember that this is a work event. Professional behavior is expected.
  • Travel with a buddy. Exploring Maui is safer and more fun with a friend. If you travel solo, let a friend or your hotel concierge know where you’re going and when you plan to return.
  • Swim safety. Enjoy the island’s beaches but do so smartly by swimming with a buddy and swimming sober.
  • Stay safe. Maui has several hospitals (see below). Research ahead of time to learn how your insurance plan works in Maui.
  • Active shooter. This event is being hosted in a safe location, but in the unlikely event of an active shooter scenario, remember: Run, hide, fight.
  • Protect your valuables. Use your in-room safe if you travel with valuables. Always use the security bolt on your room door, and never leave your door open for extended periods of time. If you should lose or misplace your room key, the Front Desk will provide you with a replacement key; however, identification will need to be provided in order to obtain another key. Do not reveal room numbers within earshot of unfamiliar people. And whether you are at the hotel or in a public area, do not display large amounts of cash.
